It is a manufacturer as much as a store. Every order carries customer-supplied artwork and per-item options, and becomes a job on a production floor, so the order data is the work order. Demand compresses into back-to-school and paid ad pushes.

The Challenge

They came to us with a job management system that had been built badly and needed bringing up to standard by someone who could work on it safely. The site was also going down or crawling at the worst possible times, paid ad pushes included, and the working theory was traffic.

What We've Done

Rebuilt the jobsheet reporting system.

Orders become daily work sheets for the studio floor. Products are assigned to an employee and a production operation in bulk rather than one at a time, and the report builder filters live orders by employee, operation, and date range. Each sheet carries the full personalization detail and renders the customer's uploaded artwork inline so the maker sees exactly what to produce, with surcharges and internal fields stripped out. Every employee gets their own sheet emailed on a schedule in local trading hours. It replaced a process that leaned on reading orders by hand and re-keying them into spreadsheets.

Built the personalization flow that feeds it.

Customers see their own text rendered on the product image before they buy, and the artwork they upload attaches to the order item and carries through to the admin, the jobsheet, and the production output. Per-product option rules, attribute-level stock, quantity limits, and per-product shipping all sit behind it and had to work together.

Rebuilt every customer-facing document.

A full custom WooCommerce email suite rather than restyled defaults, rewritten template by template across new order, processing, on-hold, completed, invoice, and renewal, plus branded PDF invoices and the packing slips the warehouse picks from. Digital designs deliver as a tokenized download link in the completed-order email. Personalization and gift card fields are relabeled into human-readable names everywhere they appear, so a personalized order is unambiguous to the customer and the studio alike.

Found the real source of the daily overload.

Automated scanner traffic was probing for files that don't exist, and each miss was booting a full WordPress load. Genuine customer traffic was a small fraction of what the server was actually doing. We filtered it upstream instead of throwing hosting at it.

Tuned the store for ad spikes.

Server and cache-layer tuning plus caching on ad landing pages, and we cleared a cache store that had bloated to the point of being counterproductive. We also traced a caching conflict that had been taking product pages down site-wide. Response times stabilized.
